How to Track Interior Design Client Invoices and Fees in a Spreadsheet

Interior design money splits across design fees, product markup, and pass-through vendor payments — easy to confuse what is yours, what is owed to suppliers, and what the client still hasn’t paid. A free design client invoice tracker spreadsheet separates design fee invoices from status tracking and flags overdue balances before you commit to purchases.

Split fee types on separate rows

  1. Design fee — planning, drawings, project management hours.
  2. FF&E or product markup — furniture and materials you sell with margin.
  3. Reimbursables — items you pass through at cost (shipping, samples) — still track payment status even if margin is zero.

Each row: client, project, amount, sent date, due date, status. Overdue highlighting shows which project is blocking cash flow.

Invoice before major procurement

Do not order $8,000 of upholstery on a verbal yes. Tie purchase milestones to invoice milestones in the sheet — deposit before ordering, balance before delivery. The tracker becomes your release checklist.

Link project context in your interior design project tracker and reconcile product spend against the design budget tracker.

Graphic designers: different fee model, same discipline

Freelance brand and studio work often quotes by deliverable and usage rights — use the graphic design pricing calculator to build the quote, then track sent invoices here or in the general freelance invoice tracker if your workflow is simpler.

When to move to design business software

Procurement portals, client portals, and integrated accounting earn their cost on large commercial jobs with many vendors. Residential studios with a handful of active projects often run fees and invoices in a sheet until AR volume demands automation.

These templates are front-office business tools, not licensed design contracts. Verify payment terms with your attorney for your jurisdiction.
