How to Track an Interior Design Budget in a Spreadsheet (Estimate vs. Actual)
Interior design budgets fail when estimates are room-level guesses and actuals arrive as vendor invoices spread across three months. A free interior design budget tracker spreadsheet tracks items, vendors, estimate vs. actual, and markup per line so clients see trade-offs before you order.
One row per item, not per room lump sum
For each FF&E or finish line:
- Item — sofa, pendant, tile, drapery fabrication
- Room
- Vendor
- Estimated cost — at selection or allowance stage
- Actual cost — quote or invoice received
- Markup — your margin rule on product
- Client price — what the row totals on the client budget
Variance columns show where selections crept over allowance.
Run client meetings from the sheet
Share a filtered view: “Kitchen selections” with estimate vs. actual visible. When the client wants the upgrade range hood, they see which allowance line must shrink — trade-off math in real time, not a surprise email after you ordered.
Markup consistency
Apply markup via one reference cell or column formula so every line uses the same rule — mixed mental math is how studios accidentally discount high-ticket items. Reimbursables at zero markup should still appear as rows so clients see full project cost transparency.
Close the loop with invoices and projects
When actuals land, update the budget row and mark invoice status. Align room phases in the project tracker so procurement rows do not advance before budget approval.
Profitability vs. client budget
This sheet is the client-facing budget and your cost control tool — not full firm profitability (hours × internal cost). Agencies tracking margin on labor plus pass-throughs should also use project profitability tracking when fee burn matters.
These templates are budgeting tools, not audited financial statements. Confirm tax treatment of product sales with your accountant.
