How to Track Towing Invoices and Motor Club Payments in a Spreadsheet
Towing cash flow splits awkwardly — motor club calls pay slow, cash and insurance jobs pay faster, and unpaid storage piles up while you wait on paperwork. A free towing invoice tracker spreadsheet logs each invoice, payer, motor club vs. cash-pay, amount, and status with aging on outstanding balances.
One row per invoice or dispatch
Capture at release or billing time:
- Invoice / call number
- Date of service
- Payer type — motor club, insurance, cash, property owner
- Motor club name if applicable
- Amount billed
- Status — submitted, paid, disputed, unpaid
- Days outstanding — template or formula for aging buckets
Sort by oldest unpaid club remits first — that is usually where cash is stuck.
Separate club AR from cash jobs
Motor club payments often arrive 30–60 days after submission with deductions you must dispute. Cash and insurance columns should not blend into one “revenue” total — club AR is a different collection workflow with different follow-up rules.
Document disputes in the row
When a club short-pays, note expected vs. received and dispute ticket ID in a notes column. Reconciliation without notes becomes impossible across hundreds of calls.
When dispatch software replaces the log
Integrated dispatch, club electronic billing, and storage fee automation earn their cost at multi-truck volume. Single-truck and small fleet operators often run invoices in a sheet until club AR volume makes manual aging the bottleneck.
These templates are billing tracking tools, not motor carrier compliance records. Verify regulatory and insurance documentation requirements separately.
