How to Track Inventory in a Spreadsheet (Without Barcode Software)

You do not need a warehouse system to know what is in stock, what is running low, and what your inventory is worth. A free inventory tracker spreadsheet handles SKU counts, reorder alerts, and total value for a small shop, maker studio, or reseller operation.

The four columns that matter

  1. SKU or item name — something you can search quickly on a phone in the stockroom.
  2. Quantity on hand — update this when stock moves in or out.
  3. Unit cost — what you paid per unit (or average cost if prices vary).
  4. Reorder point — the quantity that triggers a buy or make run.

Add inventory value as quantity × unit cost. Sum that column and you have total stock value without a separate report.

Set up low-stock alerts

Use conditional formatting: highlight any row where quantity on hand ≤ reorder point. Red rows become your shopping list. No macros required — the template wires this up for you.

The weekly rhythm that keeps counts honest

  • Monday: scan low-stock highlights and place orders.
  • After each sale or production batch: adjust quantities — even rough counts beat a sheet you never touch.
  • Month-end: spot-check high-value SKUs against physical stock. Fix drift before it compounds.

When a spreadsheet stops scaling

A sheet works until you need real-time sync across multiple locations, barcode scanning at volume, or automatic POS deductions. That is the threshold where dedicated inventory software earns its cost — but most businesses under ~200 SKUs never reach it.

Start with the spreadsheet. Upgrade only when the manual updates themselves become the bottleneck.

These templates are operational tools, not accounting systems. Verify inventory values for tax and audit purposes with your bookkeeper.
