How to Schedule HVAC Preventive Maintenance Visits in a Spreadsheet
Maintenance agreements promise visits; the schedule is what technicians actually run. A free HVAC maintenance schedule spreadsheet tracks units, PM tasks, frequency, last completed, and next due per customer site.
Row per unit or per system
Commercial sites may need rows per rooftop unit; residential often one row per home with task checklist in notes.
Columns:
- Customer / site
- Equipment — furnace, condenser, mini-split head
- PM tasks — filter, coil clean, amp draw, etc.
- Frequency — spring AC, fall heat, semi-annual
- Last done and next due
Filter next due this week to build the dispatch board.
Link schedule to agreement billing
Agreement tracker shows paid and entitled; maintenance schedule shows executed. A customer billed for two visits who received one should appear on both sheets — billing without service creates churn; service without billing creates leakage. Cross-check monthly with HVAC agreement billing.
Log refrigerant and filter notes
Short notes on filter size and refrigerant type save truck rolls — tech reads the sheet before the van loads.
When FSM platforms win
Asset histories, mobile checklists, and automatic customer reminders scale past what a sheet comfortably handles. Small shops with a few hundred PM accounts often run the schedule in Sheets until missed PM callbacks spike.
These templates are PM scheduling tools, not EPA refrigerant log compliance systems where those are required.
