How to Bill HVAC Maintenance Agreements in a Spreadsheet

HVAC shops sell maintenance agreements for predictable revenue — but revenue only materializes when visits happen, renewals close, and customers actually pay. A free HVAC service agreement tracker spreadsheet lists customers, plan, visits due, renewal dates, and recurring revenue so nothing lapses quietly.

One row per agreement

  1. Customer and site — address or equipment ID
  2. Plan tier — one visit, two visits, filter changes included, etc.
  3. Annual or monthly price
  4. Visits included per year and visits completed
  5. Next visit due and renewal date
  6. Payment status — current, overdue, auto-pay

Conditional formatting on visits due and renewal columns is your Monday dispatch list.

Bill agreements separately from break-fix

Break-fix calls logged in service call trackers should not blur with PM agreement revenue. Agreement rows are recurring AR; repair rows are transactional — separate tabs or clear type columns keep margin visible.

Renew before the last visit

Filter agreements expiring in 60 days — renewal conversation at the fall PM visit beats a cold call in January when the furnace fails.

Pair visit execution with the HVAC maintenance schedule for per-unit task history.

When HVAC CRM software wins

Auto-renewal billing, dispatch integration, and equipment asset databases earn their cost at multi-truck scale. Shops under ~200 agreements often run renewals and visit due lists in a sheet until missed PMs cost more than software.
