How to Build a Pool Material Takeoff in a Spreadsheet

Ordering pool materials from gut feel leaves rebar rusting in the yard or a plaster crew waiting on shorted tile. A free pool material takeoff spreadsheet lists materials per phase, quantity, unit cost, waste factor, and total material cost.

Structure by build phase, not supplier invoice

Group rows under steel, plumbing, plaster, tile/coping — match how your phase tracker sequences work. When plumbing phase starts, filter plumbing materials only.

Columns per line:

  1. Material description
  2. Quantity and unit
  3. Unit cost — refresh from supplier quotes
  4. Waste factor — especially tile and coping cuts
  5. Extended cost

Sum phase total before you release POs — catches duplicate line items from copy-paste estimates.

Reconcile to the original estimate

Total material cost should sit inside the allowance from the pool build estimate. Material overrun before gunite is an early warning on job margin.

When integrated procurement wins

Live supplier catalogs, automated POs, and warehouse inventory justify systems at scale. Builders running a handful of concurrent jobs often take off in Sheets until material chaos or lender draw documentation forces centralization.

These templates are material planning tools, not engineered specifications. Verify quantities with your structural and plumbing plans.
