How to Build a Gradebook in Google Sheets (Weighted Categories)

District systems lock you into fixed weights and clunky exports. A free gradebook spreadsheet lets you set category weights, enter scores, and see weighted averages and letter grades update automatically — in Google Sheets or Excel, on your terms.

Define categories and weights first

Typical split:

  • Tests — 50%
  • Homework — 30%
  • Participation — 20%

Weights must total 100%. Put them in a small reference table at the top; formulas point to those cells so you can tweak mid-term without rewriting every formula.

Layout: students down, assignments across

  • Rows — one student per row with name and ID.
  • Columns — assignment groups or individual columns under category headers.
  • Summary columns — category average, weighted course average, letter grade.

The template uses SUMPRODUCT or weighted averages to combine category scores — you enter raw points; the sheet computes percentages.

Flag at-risk students early

Conditional formatting on the course average column — highlight below 70% or whatever threshold your school uses. Scan red cells before parent conferences instead of discovering problems on report card day.

Share and backup responsibly

Google Sheets sharing works for co-teachers or tutors; export a copy before grade submission deadlines. This template is for classroom tracking — not a replacement for official district grade systems where policy requires a certified platform.

When to move to an LMS gradebook

Learning management systems earn their cost when you need rubrics, plagiarism checks, parent portals, and SIS sync. For a single class, tutoring roster, or homeschool cohort, a well-built sheet is faster to customize.

These templates are classroom operational tools, not official student information systems. Follow your school or district record policies.
