How to Bill Pool Service Clients in a Spreadsheet

Pool routes run on recurring monthly fees — until half the route is “will pay Friday” and repairs go unbilled. A free pool service billing spreadsheet tracks customers, plan, monthly fee, paid, and balance with overdue highlighting.

One row per pool account

  1. Customer and address
  2. Service plan — weekly clean, biweekly, chemicals only
  3. Monthly fee — what you charge regardless of visit count variance
  4. Paid this month? — yes/no or partial
  5. Balance — carried forward from prior months
  6. Extras — pump repairs, acid washes, equipment installs

Extras column prevents repair revenue from disappearing when bundled mentally into “service.”

Bill before the route expands

Add a new pool to the route schedule only after the billing row exists with fee and payment method — growing routes without billing rows is how operators subsidize growth.

Monthly close in ten minutes

Filter unpaid, send batch reminders, mark Zelle/check/card payments as they arrive. Sum expected MRR vs. collected — gap shows collection problem before chemical costs spike.

When pool billing software wins

Auto-pay, card on file, and route integration justify subscriptions at 200+ pools. Operators under that threshold often collect faster with a visible sheet and consistent late policies.

These templates are billing logs, not pool chemistry compliance systems. Document chemical service separately where required.
