How to Track Paralegal Billable Hours in a Spreadsheet

Freelance paralegals bill attorneys by the hour across multiple matters — easy to under-log phone calls and research blocks. A free paralegal billable hours tracker spreadsheet records time, matter, hours, rate, and billable amount with billed vs. unbilled totals.

Log time daily, not at invoice time

Each entry:

  1. Date
  2. Matter / client — attorney firm and case name
  3. Task description — one line, specific enough to defend the bill
  4. Hours — round to your firm’s convention (0.1 hr increments typical)
  5. Rate — can vary by matter if contracted
  6. Billable amount — hours × rate

End of week: filter unbilled, send invoice batch to each attorney client.

Separate billable from non-billable

Training, admin, and conflict checks go in non-billable rows — otherwise realization looks artificially low when you invoice honestly.

Attorneys logging their own time use the billable hours log; paralegals invoicing firms use this tracker.

Matter caps and budgets

Add budget hours column per matter — highlight when cumulative hours approach cap before the attorney surprises you at invoice review.

Integrated invoicing, trust accounting, and e-billing to corporate clients require platforms like Clio or LeanLaw at firm scale. Freelance paralegals with a handful of attorney clients usually invoice from a sheet until matter count demands automation.

These templates are time-tracking tools, not legal advice systems. Work under attorney supervision; do not practice law without appropriate licensure.
