How to Log Appliance Repair Service Calls in a Spreadsheet
Appliance techs see the same brands fail the same way — but every house has a history. A free repair service call log spreadsheet tracks calls, appliance, diagnosis, fee, and status from booked to closed.
Diagnosis notes are the asset
Log:
- Customer and appliance — brand, model if available
- Symptom — what the customer reported
- Diagnosis — what you found
- Repair performed or parts ordered
- Service fee / repair total
- Status — booked, in progress, closed, paid
Next visit starts with your notes, not the customer’s guess.
Fee vs. repair quote
Separate trip/diagnostic fee from repair total when you quote parts after diagnosis. Two columns prevent collecting only the service call fee when the repair invoice goes out later.
Warranty and repeat failure tracking
If the same dishwasher returns within 90 days, filter prior rows by appliance serial or address — warranty policy and customer trust both depend on visible history.
General handymen logging mixed jobs can use the broader service call tracker; this log is tuned for appliance-specific diagnosis.
When repair shop software wins
Parts ordering integration, manufacturer warranty portals, and route optimization at multi-tech scale need dedicated platforms. Independent techs and small shops often run a call log in Sheets until missed follow-ups cost more than software.
These templates are service logs, not manufacturer warranty submission systems.
